Sharing documents, sites and files is very easy through SharePoint and OneDrive\u00a0\u2013 even with\u00a0people outside\u00a0of\u00a0your company. This\u00a0is very convenient,\u00a0and promotes collaboration between\u00a0multiple\u00a0parties;\u00a0however, you should be wary of the security of your data and files. Therefore, in this article we\u00a0show you\u00a0how to remove access to your documents, files and sites, so you can make them\u00a0private\u00a0at any time.\u00a0<\/h4>\n\n

Activate or deactivate external sharing on\u00a0desired documents<\/strong>\u00a0<\/h3>\n\n

An effective way to remove people’s access to\u00a0specific\u00a0documents is to turn off external sharing\u00a0on them. In a very short time, guests who previously had access to these documents will lose access. These are features that you can find in SharePoint and OneDrive.\u00a0<\/p>\n\n

    \n
  • At the organization level:<\/strong>\u00a0For an external share to be accepted, it must be activated at the organization level of your SharePoint or OneDrive. You can change this \u201corganization level\u201d setting in the admin center of either of the two platforms.\u00a0<\/li>\n<\/ul>\n\n
      \n
    • Individual sites or at the OneDrive level:<\/strong>\u00a0Once this mode is activated on OneDrive or SharePoint, external sharing can be restricted on a site-by-site basis,\u00a0or on separate OneDrive platforms. Administrators have the ability to change the external sharing setting, however, owners of SharePoint sites (if they are not admin) do not have the ability to do so,\u00a0even if they still have access to\u00a0other sharing options.\u00a0<\/li>\n<\/ul>\n\n

      How to enable or disable external sharing in SharePoint Online<\/strong>\u00a0<\/h3>\n\n

      By default, the sharing mode in SharePoint and OneDrive is automatically set to \u201ceveryone\u201d. If you want to manage or disable external sharing at the organizational level, you will have to\u00a0follow these\u00a0steps:\u00a0<\/p>\n\n

        \n
      • First, you will need to log into the\u00a0administrator’s\u00a0centre.\u00a0<\/li>\n<\/ul>\n\n
          \n
        • Then you must select SharePoint or OneDrive,\u00a0depending on the platform you want to restrict.\u00a0<\/li>\n
        • There you will see a \u201cSharing\u201d tab,\u00a0as well as a separate\u00a0\u201cExternal sharing\u201d tab. This is where you can manage shares with members who are not in your organization.\u00a0<\/li>\n<\/ul>\n\n

          Once you’ve made the change, know that this setting applies to your entire organization.\u00a0<\/p>\n\n

          Enable or disable external sharing for\u00a0site collection<\/strong>\u00a0<\/h3>\n\n

          As we said above, you must be an administrator to manage this setting\u00a0–\u00a0a site owner will not be able to do it on their site. This\u00a0applies to all kinds of sites (classic sites, communication sites, new team sites, and so on). Here’s what you’ll need to do to manage a site’s external sharing on\u00a0SharePoint:\u00a0<\/p>\n\n

            \n
          • First, you will need access to the General Administration Center on\u00a0SharePoint to make the\u00a0change.\u00a0<\/li>\n<\/ul>\n\n
              \n
            • Select\u00a0the\u00a0site in the left column.\u00a0<\/li>\n<\/ul>\n\n
                \n
              • Click on the tab “sharing” and\u00a0then\u00a0“external sharing\u201d.\u00a0<\/li>\n<\/ul>\n\n
                  \n
                • If you want to restrict site sharing by domain, you will need to select the \u201climit sharing by domain\u201d\u00a0box,\u00a0and\u00a0add the domain to allow or restrict.\u00a0<\/li>\n<\/ul>\n\n
                    \n
                  • You can also change the default sharing link, permissions or expiration\u00a0by unchecking the “Same as setting at the organization level”,\u00a0and then customizing\u00a0the value\u00a0for\u00a0this site.\u00a0<\/li>\n<\/ul>\n\n

                    In your own OneDrive you have the ability to stop sharing a folder and\/or file. In SharePoint sites, a “standard” member can also stop sharing. For this you will have to:<\/p>\n\n

                    Select the document or folder that you want to stop sharing, or whose permission you want to change (you can select more than one at a time).<\/p>\n\n

                    At the top of your screen, select the little information “i”; this will open the details of the document in question.<\/p>\n\n

                    When this window opens, you will see an icon for everyone who has access to this document or folder. To change this, just select “manage access” below, and remove the people you no longer want to have access.<\/p>\n\n

                    All access can be managed on Microsoft platforms,\u00a0allowing\u00a0for\u00a0the\u00a0safe\u00a0sharing of\u00a0documents,\u00a0files\u00a0and\u00a0even sites. In this article only a few possibilities regarding sharing have been\u00a0discussed, but\u00a0be aware that everything on these sharing platforms can be managed.
